The university's recruiting and admissions journey depended on Ellucian CRM Recruit, WUFOO forms, Mailchimp, Banner Student Information System, and Hyland OnBase. These tools did not provide one view of a prospect or applicant, and applicants lacked a self-service place to submit materials, track interview or call dates, review important communications, or request assistance. Admissions staff also needed a single back-office environment for managing the journey. The fragmented toolset made personalization, process automation, reporting, and future expansion harder to sustain as recruiting and enrollment needs evolved.
DIATOZ designed a phased Salesforce platform spanning recruitment and admissions. Phase one establishes Salesforce CRM as the system of record for prospects and recruiting activity. Phase two adds a Salesforce Digital Experience portal where applicants can submit applications and supporting materials, see scheduled interview or call dates, review communications, and create support requests. Admissions staff administer those experiences through a connected back-office console. FormAssembly replaces legacy forms, Blackthorn Events supports interview and event scheduling, and Outlook keeps staff communication attached to the applicant journey. Data migration and integrations with Banner SIS and Hyland OnBase connect recruiting, admissions, student, and document records while creating a foundation for advanced Salesforce analytics.
DIATOZ combined higher-education journey design, Salesforce platform delivery, data migration, and enterprise integration to replace a fragmented admissions toolset with a phased foundation the university can extend over time.
